[SCA-Dance] logistics/specifics for potential 2015 KWDS site in Germany

Salvete!
Reading the concern about the travel to/from the airport for KWDS, I thought I would mention the logistics of the potential site for KWDS in Germany in 2015.
First off, I would recommend holding it in March, when airfares are cheapest to Germany but when the weather has the potential to be pleasant for tourist activities. Secondly, Frankfurt International Airport is an hour drive from the site (Miltenberg's 14th c. city hall, which is located in the heart of a gorgeous medieval merchant city with an excellent archeological museum of local finds), or a two hour train ride to a station that is within walking distance of the site (less than half a mile). If one books the train tickets in advance, train fare is about 30 EUR roundtrip. We would probably be able to arrange a shuttle service in exchange for gas money, depending on when people arrive/depart. The youth h ostel in question would be 14 EUR per person per night in multibed rooms (but we will probably have to book/pay for the beds en bloque, which means for the duration of the event, whether the people are in them for two days or four days), plus 6 EUR if people need bedsheets to be provided by the site. We can also offe rlimited crash space on the site itself for free, but that would literally be floor space. There are also numerous gorgeous little B&Bs, reasonably priced, within VERY easy walking distance of the site (the furthest is a half mile away, all located in the medieval old town), ranging in price from 40 EUR per night for a single/50 EUR per night for a double to 150 EUR per night for the deluxe Emperor's Suite in the town's historical jewel, the Riesen (in which a Holy Roman Emperor once overnighted).
Something to remember, though, is that sites with room/ambience to dance/professional kitchen in which to cook our own food are way more expensive in Europe, so the site fee would be much higher than the average SCA event (the site would probably end up costing about 750 EUR per day - but that is cheap by local standards for all the amenities we are getting). I generally set the breakeven for Academia della Danza at 60 people. For KWDS, I might be comfortable setting the breakeven at 75, but not much more than that since our local groups here have very small bank accounts and cannot really afford to lose money on events.
The question comes: would people be happy with a Thursday-Sunday morning event (i.e. classes commence late Thrusday morning, cleanup happens Sunday morning)?

Judith

One note I have just for the Saratoga Springs KWDS, I tried going there
this year, and it was expensive flight-wise, also I think there isn't an
airport at Saratoga, so we would need a shuttle there from Albany.
And the hotels were around $130 a night.

Since I no longer work for a corporation, I would humbly ask that whatever
venue/hotel is chosen, it won't be so very expensive, and a way to
carpool/shuttle from the airport be facilitated.

Thanks,
Lowrie.

I'm definitely also hoping for cheaper accommodations. I know they
mentioned dorms, at $63 per person per night. That tends to be a standard
sort of rate for dorms.

But splitting a hotel room or something 4 ways is usually the cheaper
route, if you have people you want to crash with. (and hopefully some
local crash space perhaps too).

We'll have to see what else is available. I wonder if sleeping on site
would be an option, since we have the keys for 24 hour access I think they
mentioned? :)

Ah, my mistake then regarding the focus. I understood that a guest teacher
would be an option, but I had felt it could be a benefit even for some
advanced classes.

I guess I was coming from a place where, this KWDS, I only attended 2
classes (3 if you count the Future KWDS session). There were various
reasons for this (I was teaching 3 classes, I was in the Masque practices,
I was exhausted coming into the event and also didn't have as much time
before the event as I would like to prepare some of my class material.).
Admittedly a lot of it is my own fault. But I still just figured that
there could be potential for improved learning and focus with the extra day.

Anyway, it is good to have the discussion regardless. :)

There will be dorm rooms available for $63 per person per night.

Deonna said the airport was about a half hour away, so I would imagine they
could arrange a shuttle by SCA folks if there is not already a commercial
shuttle between the airport and Skidmore College.

I would teach and have taught long form classes at KWDS, Saltare and
Lilies war and other events where a concentration of mid to advanced
level dancers might enjoy them. I'd do it again. I think there are a
lot of things we just can't cover or hone in an hour or even in a day.
We really sell ourselves short sometimes with our all commers, short
form class style and could really push ourselves and this artform a
lot farther with more in depth classes similar to those taught across
other forms and styles.
The short version of this is -yay, I'm all for intensives! KWDS is
just the place to raise the collective bar.

I was more than a little alarmed when I tried to search for flights
Austin-Albany (or Rutland) for next June and kayak.com said that there
were no flights. "You can't get there from here"?! Luckily,
orbitz.com was more helpful: it said that flights could be booked only
some 330 days in advance.

I looked for flights around September (just as something long-range)
and it's pricier than a lot of destinations ($384 to Chicago, for
example, but about $510 to Albany). I Did Not Know That.

Until this year, I had not realized how very VERY nice it was that we
had rooms adjacent to the site in Bloomington. Just wanting to go
back and take a shower and change my undertunic and drop off a few
things and pick up some things, but taking the better part of an hour
and thinking about a $10 hit ... How long will it take to get from
the 2013 site to any accomodations?
